When you book an appointment with Esaias Hobbs Acupuncture, you agree to the terms and conditions below. These terms are intended to keep the booking process clear, fair and respectful for all clients.
1. Appointments
Appointments must be booked in advance through the online booking system, by phone, or by direct arrangement with the clinic.
Please arrive on time for your appointment. If you arrive late, your session may need to be shortened, while the full appointment fee will still apply.
If you are significantly late, the appointment may need to be rescheduled and may be treated as a late cancellation.
2. Payment
Payment is due either at the time of booking or at the appointment, depending on the booking method and service selected.
Accepted payment methods include:
- cash
- debit or credit card
- bank transfer
Receipts can be provided on request for insurance or personal records.
3. Cancellation Policy
Please give at least 24 hours’ notice if you need to cancel or reschedule an appointment.
Appointments cancelled with less than 24 hours’ notice may be charged at the full session fee.
Missed appointments, or appointments where you do not attend without notice, will be charged at the full session fee.
This policy applies because short-notice cancellations are difficult to fill and the appointment time has been reserved for you.
4. Health and Medical Information
You are responsible for providing accurate and relevant health information before and during treatment.
Please tell me about:
- current symptoms
- relevant medical history
- medication
- pregnancy or possible pregnancy
- allergies or sensitivities
- recent surgery or medical investigations
- any changes in your health since your last appointment
Acupuncture, massage and Chinese medicine are complementary approaches and do not replace conventional medical diagnosis, emergency care, prescribed medication or advice from your GP, consultant or other healthcare professional.
If you have a serious, urgent or unexplained medical symptom, you should seek appropriate medical advice.
5. Hygiene, Safety and Illness
All acupuncture needles are sterile, single-use and safely disposed of after treatment.
Please do not attend the clinic if you have symptoms of a contagious illness, including fever, vomiting, diarrhoea, a new persistent cough, or other symptoms that may put others at risk.
If you are unsure whether to attend, please contact me before your appointment.
I am happy to work with chronic illness, fatigue, post-viral recovery, long-standing health concerns and general unwellness, provided it is appropriate and safe to do so.
6. Prepaid Courses
Prepaid courses must be paid for in full at the time of booking unless otherwise agreed.
A course of treatments offers a reduced overall price in exchange for advance payment and commitment to a block of sessions.
The first session is usually booked at the time of purchase. Remaining sessions should be booked through the booking system using the appropriate prepaid follow-up option, or by direct arrangement with the clinic.
Unless otherwise stated, all treatments in a prepaid course must be used within 3 months of the first appointment.
Appointments within a prepaid course may be rescheduled with at least 24 hours’ notice.
Late cancellations, missed appointments or no-shows within a prepaid course count as a used session and will not be refunded.
7. Refunds for Prepaid Courses
If a prepaid course is cancelled before all sessions have been used, any refund will be calculated by charging completed sessions at the standard individual session rate, then refunding any remaining balance.
Any missed sessions, late cancellations or no-shows will be treated as used sessions.
Refunds are not available for expired sessions.
8. Seasonal Reset Appointments
Seasonal Reset appointments are single appointments, not prepaid packages.
They are booked and treated in the same way as other single appointments. The standard cancellation, late arrival and no-show policies apply.
9. Appointment Reminders
Appointment reminders may be sent by email or text message through the booking system.
These reminders are provided as a courtesy, but it remains your responsibility to attend, cancel or reschedule appointments in time.
Appointment reminders are part of the booking system and cannot usually be opted out of individually.
10. Data Protection and Privacy
Personal data and treatment records are stored securely and used only for clinic, booking, communication, professional, legal and insurance purposes.
Your information is handled in accordance with the clinic Privacy Policy.
If newsletters or marketing updates are sent, you can unsubscribe from these at any time.
11. Finding the Clinic
Directions and clinic information are provided in your booking confirmation and on the website.
Please allow enough time for travel, parking and finding the clinic. Late arrival may shorten your session or require rescheduling.
12. Agreement
By booking an appointment, course or Seasonal Reset appointment, you confirm that you have read, understood and agree to these Terms & Conditions.
